Urdu E-mail

Many software developing companies claim that they are developing softwares with the support for multiple languages but, unfortunately, none of them is producing any true support for Urdu language, which is the third most popular language of the world.

I think the most powerful ambition of Urdu speakers is that if they could e-mail in Urdu. A web site has developed a way to send mail in Urdu, but it uses a very unfamiliar font which is almost unreadable.

In this little tutorial, we are going to introduce you with a new way of sending electronic mails in Urdu.

Requirements:

To mail in Urdu as taught in this tutorial, you must have following softwares.

  • InPage, PowerPage or Urdu 2000
  • Any e-mail program supporting HTML e-mails (e.g. Outlook Express, Outlook 2000, Eudora etc.)

Prerequisites:

For taking this tutorial, you must have following abilities:

  • Typing in InPage, PowerPage or Urdu 2000
  • Exporting InPage, PowerPage or Urdu 2000 files as GIF images. (If you don’t have this ability then consider taking this tutorial first.)
  • Using above mentioned e-mail program

1. Introduction to An E-mail Program (for web based e-mail users only)

An e-mail program is a simple program just like many others running on your PC. It is used both online and off-line. When you connect to internet, you open your e-mail program. It connects itself with your mail server and negotiates with it using the information about your mail account. This information are specific settings which are provided by your mail server to you when you sign up for the account. You apply these settings to the program. For further information about these settings see the help of your e-mail program and consult your e-mail service provider.

We were talking about some negotiation. Let’s go ahead. After negotiating, mail server allows the mail program to access the e-mail account, provided that the settings are correct. After getting access to the account, the mail program collects all the new, unread e-mail messages on server and downloads them into the PC. When all new messages are downloaded, you can disconnect your computer from internet. Downloaded e-mails can be read at any convenient time without going online. To read them, you only need to open your e-mail program.

In the same way, you create your e-mail messages off-line without any haste (for saving internet time) and send them when connected to internet.

Unfortunately, not all e-mail services support e-mail programs. For information about services which provide support for the e-mail programs, search on Google with "free POP3 e-mail account" as keywords. To check if your mail services supports e-mail program, you must contact the administration of your e-mail service provider.

2. How is Urdu E-mail is Sent

Most common operating systems cannot support the fonts other than Roman. However, Urdu is written in a totally different style therefore it is impossible to send Urdu e-mail as text like English. That is why a web site cannot be used for sending e-mail in Urdu. For sending e-mail in Urdu we type our message and save it in its original file format as a backup copy. Then we export this file as an image, do some important tasks with the message image and then insert it in our e-mail message in some e-mail program of our choice.

Then this e-mail containing Urdu message (in image format) is sent to the recipient.

3. Creating the Body of Urdu E-mail

Open InPage, PowerPage or Urdu 2000. Type your message in Urdu using your favorite font. Save the file in an appropriate folder.

4. Exporting as an Image

Export your file as a GIF image to some easy-to-find location. Open the exported image with some graphic editor and remove unused white space to reduce its size. This is optional. If you don’t want then don’t edit the exported image. But editing and reducing its size will be useful, as it will take less time in transfer over internet.

5. Importance of GIF image format

Tip: Always use GIF image to send Urdu e-mail. Why? Because GIF images take low space on your hard disk and in the same way they take less bandwidth over internet while transfer, hence, easily transferred. As an Urdu mail message in GIF format has very few colors in it, therefore, GIF image format is the best for it. For images with very few colors, GIF format is the best format and with a very small file size, in addition, it does not effect the quality of the image at all; while JPEG or JPG format takes a larger file size with low quality of image.

6. Creating a new Mail Message in E-mail Program

Open your favorite e-mail program and create a new mail message for sending. Enable HTML enrichment for this new mail message.

7. Inserting Urdu mail message as an Image

Insert the Urdu mail message image in to your newly created e-mail. It will be embedded into the HTML e-mail just like in a web page. Command for inserting image in e-mail can be found through help in your e-mail program.

8. Sending Urdu E-mail

Connect to internet, and click send to send the mail. If you want to send the mail later then save it. You can send it at your convenient time by connecting to internet.

9. How will be the e-mail Read

For, your and recipient’s, both PC’s this message will be nothing more than an HTML document having a GIF image embedded in it. So recipient of your mail will see an image with Urdu on it. Some web-based e-mail users will have a problem in reading the message because their e-mail system will consider the image as an attachment, therefore, the recipient will see a place-holder of image inside the mail body instead of the original image containing message. The recipient will have to download the image from the attachments. You can add following line as a place-holder for image while inserting it in your mail:

If you do not see an Urdu message in GIF image format here then please download it from attachments.

This line will be shown along with the place-holder of the image in case of server's fault. This line will help the recipient and the fault of his/her mail server he/she will not loose the message.

Above mentioned mail server fault was there in Yahoo! Mail earlier but now there is no problem.
